Privacy Policy

This policy explains what personal data Cyboq collects, why we collect it, how long we keep it and what you can ask us to do with it. It is written to be readable. If anything here is unclear, email privacy@cyboq.com and a person will answer.
1. Who we are
Cyboq ("we", "us") is a digital agency providing web design, web development, app development, e-commerce, digital marketing, SEO and AI services. For the purposes of data protection law we are the data controller for the personal data described in this policy.

2. What we collect
Information you give us. When you complete a contact form, subscribe to our newsletter, apply for a role or email us, we collect the details you provide — typically your name, email address, company, phone number, budget range and the content of your message.
Information collected automatically. When you visit this site we record a limited set of first-party analytics: the page visited, the page you arrived from, approximate screen size, the date and time, and a truncated, anonymised form of your IP address. We use this to understand which pages are useful. We do not use third-party advertising trackers on this site.
Client project data. During an engagement we may process data belonging to a client's business or its customers. In those cases the client is the data controller and we act as a processor under a written agreement.

4. Who we share it with
We do not sell personal data, and we do not share it for anyone else's marketing. We do use a small number of service providers who process data on our behalf under contract:
- Hosting and email providers, to run this site and our correspondence
- An email marketing platform, if you subscribe to the newsletter
- A CRM, to keep track of enquiries and client relationships
- Accounting software, for invoicing and statutory records
We may also disclose information where we are legally required to do so.
5. International transfers
Some of our providers are located outside your country. Where personal data is transferred internationally we rely on appropriate safeguards, such as standard contractual clauses or an adequacy decision covering the destination.
6. How long we keep it
- Enquiries that do not become projects: 24 months, then deleted
- Client records: for the duration of the engagement and 7 years afterwards, for legal and accounting purposes
- Newsletter subscribers: until you unsubscribe, plus a suppression record so we do not re-add you
- Job applications: 12 months, unless you ask us to keep them on file for longer
- Analytics records: 14 months in aggregate form
7. Your rights
Depending on where you live, you may have the right to access the personal data we hold about you, correct it, delete it, restrict or object to how we use it, receive it in a portable format, and withdraw consent at any time where we rely on consent.
To exercise any of these, email privacy@cyboq.com. We will respond within 30 days. You will not be charged, and you do not need to explain why. If you are unhappy with our response you can complain to your local data protection authority.
8. Security
We use encryption in transit, access controls limited to staff who need them, multi-factor authentication on our systems, regular patching and encrypted backups. No system is perfectly secure, but if a breach affecting your personal data occurs we will notify you and the relevant authority as required by law.
9. Cookies
This site uses a small number of first-party cookies and similar storage. Details are in our Cookie Policy.
10. Children
Our services are aimed at businesses. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.
11. Changes to this policy
If we make material changes we will update the date at the top of this page and, where the change is significant and we hold your contact details, tell you directly.
